Maintenance Administrator

Diversified Transportation is looking for a Maintenance Administrator based out of their Fort McMurray Shop. This role reports directly to the Fleet Manager and is responsible for administrative duties and functions of an operational shop environment. The Maintenance Administrator is a full-time role and has a Monday – Friday work schedule.

Primary Responsibilities:

  • Support the Fleet Manager in various tasks
  • Maintain vehicle files by keeping track of Preventative Maintenance Inspections and Commercial Vehicle Inspection Program Inspections according to DTL policy and government legislation
  • Oversee vehicle data management for all DTL equipment as well as retired vehicle disposal and the completion/filing of all related documentation
  • Oversee new vehicle coordination and registration, vehicle data and entry into CMMS software
  • Adjust schedules and monitor preventative maintenance schedules for any discrepancies to ensure all services are completed in the appropriate timeframe
  • Generate repair estimates, obtain approvals and create final invoices for external customers
  • Generate purchase orders and generate work order for external vendor services and receive invoices for processing as required
  • Run reports and distribute as required, including labour summaries and mileage reports
  • Aid in new hire orientation, as needed, including CMMS software training
  • Full-Time

Desired Qualifications:

  • Completion of a one or two-year college or other program for administrative assistants or 2-5 years of previous administrative experience
  • Previous maintenance admin related experience would be an asset
  • Strong verbal and written communication skills
  • Strong proficiency in Microsoft Office, specifically Excel at an Intermediate level
  • Previous knowledge of Cetaris CMMS Software considered an asset
  • High attention to detail and confidentiality and must be fully aware of the sensitivity of the position and act upon it accordingly
  • High level of initiative and an ability to work under minimal supervision or direction
  • Ability to multi-task in a multi-office/location organization and problem-solve while maintaining flexibility in a fast paced and deadline-based environment
